 f. Records of incoming/outgoing correspondence, resources and minutes to be kept for the previous four (4) years.
Treasurer will:
a. comply with the financial guidelines set by HDSB in their Financial Guidelines for School Councils booklet.
b. Ensure that the council has a copy of the HDSB School Council Handbook Supplement.
c. Ensure financial transactions are documented and records maintained in a proper financial ledger.
d. Council funds are maintained within the school generated funds bank account, ensure there is a signed (co-chair or treasurer) Request for School Generated Funds Form with appropriate backup (receipts, invoices, etc.) for any cheques issued from the designated council funds.
e. Ensure financial records are retained in the school for a period of four (4) years in accordance with Reg. 612/00.
f. Ensure financial records are complete and kept up-to-date.
g. Prepare and present monthly and yearly financial information/reports to council
meetings.
Principal or Designate will:
a. Notify council of materials received from the Ministry of Education or the HDSB.
b. Assist council with communication to the school community.
c. Give notices of dates, times and locations of council meetings to parent
community.
d. Forward a copy of the Annual Report and Financial Report to the Family of
Schools superintendent.
e. Comply with the directions for notify parents of council elections.
f. Review all council documentation prior to distribution.
g. Consider recommendations made by council and advise the council of actions
taken in response to any recommendations.
h. Attend all council meetings unless able to do so due to illness, other priority
commitments or other causes beyond his/her control.
i. Support and promote council activities.
j. Encourage participation of parents and others in the school community.
k. Review and sign all financial documents in a timely fashion.
