Data Protection Statement for an Employee
This Statement describes how we use your personal information during and after your working
relationship with us, in accordance with the General Data Protection Regulation. You have a number
of rights in relation to your information including the right to object to processing of your
personal information where that processing is carried out for a legitimate interest.
We will comply with the terms of the General Data Protection Regulation and all other relevant data
protection legislation.
Data Controller and Data Protection Officer
We are the data controller. HR is the Data Protection Office and their contact details are as follows
available from the Main Office
What information we collect
We may collect the following personal information: Personal contact details such as name, title,
address, telephone numbers and personal email address, date of birth, gender, emergency contact
information, PPS number, bank account details, payroll records and tax status information, salary,
annual leave, pension and benefit information, start date of your employment, location of employment
or workplace, copy of driver’s licence, passport or other form of identification, recruitment
information (including copies of right to work documentation, references and other information
included in a CV and Cover Letter as part of the application process), employment records (including
job title, work history, working hours, training records and professional membership), compensation
history, performance information, disciplinary and grievance information, CCTV footage and other
information obtained through electronic, information about your use of our information and
communication systems, photographs.
We may also collect, store and use the following special categories of more sensitive personal
information about you such as trade union membership, information about your health, including any
medical conditions, health and sickness records and information about criminal convictions and
offences.
There is an obligation under your contract of employment to provide or allow us to collect this
personal information and without it we may not be in a position to enter into an employment contract
with you.
How your personal information is collected.
We collect personal information about employees, workers and contractors through the application
and recruitment process, either directly from candidates or sometimes from an employment or
recruitment agency. We may sometimes collect additional information from third parties including
former employers.
We will collect additional personal information in the course of job related activities throughout the
period of you working for us.
The purpose and legal basis for processing your information
We need all of the categories of information listed above primarily to allow us to perform our contract
with you and to enable us to comply with various legal obligations. In some cases, we may use your
personal information to pursue legitimate interests of our own or those of third parties provided your
interests and fundamental rights do not override those interests. The situations in which we will
