  BUDGETING
EXPENSES
• Make a spreadsheet, chart, diagram or other means for listing expenses.
• Make a column for in-kind versus cash to monitor what you need.
• Even in-kind services or materials, given free, should be listed as an “Expense”.
Assign costs to each action step, goal or objective. Note, both monetary and non-monetary. For example, refresh- ments or supplies can be supported by a local merchant in trade for advertising or having a presence at a festival.
BUDGETING SHOULD ITEMIZE POTENTIAL COSTS AND RESOURCES FOR SEVERAL STAGES:
PHASE 1
• Formation, research and exploration.
• Scribing, record-keeping, filing, data and information management.
PHASE 2
• Initial communication platforms and events that include means to support par-
ticipation by underheard voices.
• Means to record, maintain and report back on information gathered. • Drafting and designing and ongoing updates to plans and concepts.
PHASE 3
• Talent and materials related to the testing of ideas, mock-ups and civic engage-
ment activities.
• Costs for Professional Development to support leadership. For example, team
building exercises, computer skill-building workshops, mini-mark-making workshops, lunch-and-learn presentations, leadership training programs and cross-cultural training consultant activities are a few. See Citation section “Tool Kits and Resource Lists” Potential consulting/contract fees, services, intern- ships, apprenticeships, honorariums to support medium- and long-term “staff” during planning, development and implementation stages.
PHASE 4
• Implementation costs related to changing the built environment, creation of art,
program costs, operating costs.
• Ongoing documentation, communication and reporting.
• Ongoing advocacy, education, policy development and fundraising.
INCOME
Again track in-kind versus cash income to monitor your budget. Income in cash can be earned (sales, rental fees) or donated (grants, sponsorships, memberships).
Use a budget tracking platform that is flexible, easy to use and identify a team member with the skill and will who will maintain the report safely and communicate about it to the team.
