OBJECTIVE:
Policy 413: BGCA and Other Youth Conferences
Boys & Girls Clubs of Greater Scottsdale provides program opportunities
and exposures for Club members that may include overnight trips and
accommodations. On such outings, Club staff are responsible for the well-

PROCEDURAL STEPS:
Prior to overnight trip, Club staff must receive approval (in writing) from your
supervisor to work overtime. Conference/overnight schedules must be
created based upon a program schedule for the event. Staff are responsible
for youth from the beginning of the event (including transportation to event)
until each member is retrieved by a parent/guardian. Hours must be
estimated to include travel to home base post event, as well as supervision
for pick-up.
Staff are to use eyes-on supervision during awake time activities and
sessions.
To ensure proper supervision, it is expected that adult supervision is also
offered during sleep hours. Adult staff are not allowed to share rooms with
Club members. Supervision must occur from hall of lodging
accommodations. Adult supervision may be offered through hotel
staff/security (as in the case of BGCA Conference), Exempt staff of
organization during a scheduled shift plan, or through Non-exempt staff of
organization during a scheduled shift plan. Staff are not paid or considered
on duty while they sleep. However, if staff are awake, supervising, serving
as security, they are considered on duty and therefore working hours.
Laws pertaining to overtime hours will also be adhered to and must be pre-
approved prior to hours worked.
Staff are not allowed to put youth to bed
and leave for evening adult activities. Staff serving as a chaperone are not
relieved of responsibility until event has ended and youth return home.
