Employee Schedule & Overtime
Policy No. 211 – Staff Hours & Schedules
Club staff are expected to work their scheduled hours unless on approved vacation, jury duty, or sick leave. Any absence requires advanced communication and approval from supervisor. Employee work records must accurately document absences for all staff.
The standard workweek for exempt full-time staff is at least 40 hours per week. The standard workday is 8.5 hours long with a half hour break for lunch. For example, some shift times include 7:00 a.m. - 3:30 p.m., 10:00 a.m. - 6:30 p.m., 12:00 p.m. - 8:30 p.m. and 12:30 p.m. – 9:00 p.m.
As a non-profit serving all school-age youth, there will be times when staff will need to work Saturdays, overnighters, trips and late evening hours. As exempt employees, these additional hours are a part of the job and are often necessary to meet staff coverage requirements. Non-exempt employees will be compensated with an hourly wage. However, this requirement needs to be balanced with reasonableness. Communication between staff and supervisor are necessary to ensure proper coverage and awareness of schedule.
Policy No. 212 – Payment of Overtime
Overtime must be approved by the Branch Director and COO. Staff are responsible for managing their work hours. If work tasks require more than 40 hours during the work week, the staff is responsible for communicating with supervisor and receiving approval prior to the overtime being worked. Overtime must be paid to a non-exempt employee who works over 40 hours during the workweek. All hours worked over 40 are to be paid at time and a half. Our workweek is Monday through Sunday. Paid time off does not count as time worked and therefore is not included in hours calculation to determine overtime.
Policy No. 213 – Payment of Non-Exempt Staff for Overnighters
To ensure proper supervision of overnight activities, non-exempt staff may be needed to serve as chaperones. All non-exempt staff (part-time and non-exempt full-time staff) will be paid for each hour of the night except when they are asleep. During the sleep time, non-exempt staff are considered off duty. An official schedule of assigned work hours should be established with the team of chaperones. While non-exempt staff is sleeping, exempt staff will be considered on-duty and will handle ALL issues that arise. If a non-exempt employee is asked to assist during the time that they would normally be asleep, they will be paid for these hours. Laws pertaining to overtime hours will also be adhered to. If a non- exempt employee works over 40 hours during the workweek due to an overnight event, all hours over 40 are to be paid at time and a half. The workweek is Monday through Sunday.
