HR LOA Checklist Action Steps For HR
1. Provide employees with “Employee Leave of Absence Guide” and advise them to contact The Standard Insurance Company within 24 hours.
2. Local HR should anticipate receiving status notification and duration from The Standard Insurance Company via email with 24 hours of the leave request
3. Promptly respond to information requests from The Standard Insurance Company (for example: last day worked and verification of return to work date)
— Absence email communications are sent from absence@standard.com
— Disability related requests are sent from: disabilitystatement@ standard.com
— Return to Work Verification emails requests are sent from: rtwconfirmation@standard.com
What Your Employee Should Expect
1. The Standard Insurance Company
will review the LOA request and send documentation and specific instructions to the employee
2. Leaves must be verified. Employee and/or their treating physician must complete and send the requested certification to the Standard Insurance Company within 15 days (if not received by the deadline, the leave will be denied)
4. Depending on circumstances (incapacitation) an employee may not have the ability to file a LOA request. If this occurs, you may be required to file a LOA request on their behalf. File using the online absence portal or call The Standard Insurance Company at 800-232-3146 from 5 a.m. - 5 p.m. (PST), Monday through Friday.
5. Once LOA is approved The Standard will send an email confirmation, Local HR will update employee’s Kronos profile with appropriate LOA status
6. Benefits will notify Local HR if Bridge Pay is applicable, Local HR will then enter employee’s calculated hours in Kronos within the same pay period. If LOA is approved after the pay period has closed, Local HR will need to notify Payroll to retroactively adjust.
7. Once employee Returns to Work The Standard will send an email confirmation, Local HR will remove the LOA status from the employee’s Kronos profile
3. Once the certificate is received, the Standard Insurance Company will approve/deny and communicate the outcome to the employee and the local HR (if late certification is received that support a leave, the Standard will retroactively approve the entire leave)
4. In the event of denial, the employee should contact the local HR within 24 hours to coordinate their immediate return to work.
