All other snacks/beverages consumed are to be considered as part of the per
day expense amount.
Phone/Internet
If the option of free Wi-Fi is not available in the hotel or airport, you may
use the in-room option and charge it to your room (for charge to the master
account). Airport Wi-Fi, where a free option is not available, should be charged
to your company credit card.
To minimise roaming charges on mobile phones, switch to a Wi-Fi network
where at all possible and use free internet based apps for texting. When
traveling internationally, be sure that proper travel plans are in place for data,
voice and text prior to going on-site and removed upon return.
When making International calls while traveling, please use internet based
option where possible, for contacting the office etc.
Transportation
For travel to and from the airport and your residence, the most cost effective
option for transportation should be used. Should there be a need to hire a car
service, you must ensure that an mdgroup contracted car service vendor is
used and that corporate pricing is given.
When parking at airports the most cost effective option should be selected.
US personnel travelling internationally should purchase travel insurance
through either Travel Guard or Travelex. In Europe, travel insurance is part
of mdgroup company benefits after the initial staff probationary period has
been passed successfully. For those staff on a contract or working through the
probation period, insurance cover will be provided by HR.
Client Visit Expenses
Please note that where possible mdgroup will charge all travel and
subsistence costs onto the client (at final reconciliation) should meetings be
project related. If the client is not prepared to cover costs, please refer to your
Line Manager for approval on spend for flights and accommodation that will
be covered by mdgroup.
Transportation
a) Without exception, prior to booking, all efforts must be made to source
flights through reward points or similar attained by mdgroup.
b) Without exception, all air travel has to be booked in Economy/Coach class,
at the most business effective fare.
