An area I often focus on with my customers
during my practice visits is their ordering
process, a streamlined process can make your
life so much easier and ensures your dispensary
runs smoothly and efficiently. Time is in short
supply within all dispensing practices, so it is
very important to use all available resources to
your benefit, time really is money in practice
These are some of my top tips that you can
hopefully use and benefit from when it comes to
ordering methods.
For members using the PSUK Portal
The PSUK portal allows you to see livestock via
a traffic light system and create a basket which
remains in situ until your order is sent, you can
visit as many times as you like to add lines for
your day’s requirements. I’d recommend you
create a basket sweep; this allows you to set
the rules of when you would like your order to be
sent through to PSUK and removes any risk of
forgetting to manually send the order. To set up
a basket sweep, click on View underneath the
Basket Sweep heading on the right-hand side
of the screen. Then select the day of the week
or Every Day if you want the basket sweep to
occur at the same time each day. Input the time
into the hour and minutes boxes. We advise
setting the basket sweep 10 to 15 minutes
before your morning and afternoon cut-offs.
Once the order is sent, PSUK will send a reply
to confirm the status of the product ordered, it
is good practice to check your reply screen to
ensure all products have been accepted. It will
also inform you of any products that have gone
to another wholesaler due to solus/reduced
wholesale agreements if you have TPOS set up.
If you have any urgent prescription requests,
then I recommend that you open up a second
basket and add just that one item and send
that order immediately. You will then get a

reply relevant to that specific item and have an
estimated delivery time for your patient.
For members using EMIS Web
Firstly, please ensure your EMIS system is set up
as PSUK not PHOENIX.
EMIS Web orders integrate with our website
meaning you can see all orders placed on the
clinical system in our portal, and all the switching
activated in MyDeals/APM+ will work for EMIS
web orders. To recap, MyDeals and APM+ will
allow PSUK to switch brands/generics to the
most profitable option if you have activated
on our portal. For example, if you have opted
into the new Dabigatran APM+ deal we will
automatically send you the generic Dabigatran
over Pradaxa Capsules.
Secondly, once you have sent your order via
EMIS, always check your order replies on the
PSUK website as this will inform you whether
the product is in stock or has been forwarded
to another wholesaler, it can also help identify if
you have ordered something using the wrong pip
code.
It is important to check all items have a PSUK
pip code against it when sending your order
electronically via EMIS – we often see legacy
pip/link codes assigned to lines which means
that it may go to your second line wholesaler or
come up as out of stock/discontinued - wrong
codes to wrong wholesalers in EMIS can lead to
continual missed discounts.
If you see a discontinued or not recognised reply
on our order reply I would recommend searching
for the product on our portal to obtain the
correct pip and amend it in your system.
Wrong codes can also make it look like there are
lots of out of stocks in your order, which may
cause you to order from more expensive 2nd line
wholesalers.
A key point to note is that PSUK will
automatically send you the cheapest generic
available, even if a Teva or Accord pip code is
sent through EMIS.
