Conflict of Interest
Any Executive Committee member who is or may be in any other capacity whatever interested,
involved or connected directly or indirectly to any agenda item shall disclose the nature and extent of
their interest and shall not take part in deliberations of that particular agenda item. While on the AYO
Executive Committee, no member shall show interest in a competing charity.
Confidentiality
AYO is committed to openness, transparency, and accountability. Its policies shall reflect its wish to
release all information it holds as far as this is consistent with the protection of individual privacy, the
effective management of its business, and relevant legislation.
Sub-Committees of the Executive Committee
Sub-Committees of the EC may be formed and must comprise at least one EC member. Minutes of
all sub-committee meetings must be presented to the EC meeting immediately following.

Annual Plan and Budget
Prior to the start of the new financial year, the EC will prepare and approve an Annual Plan setting
out the goals for the year ahead and Budget which align with the Annual Plan and AYO Strategy.
The Budget will incorporate forecasts for Profit and Loss, Balance Sheet and Cash Flow.
Legal Reporting Requirements
The EC will ensure that all reporting requirements related to being a registered charity and
incorporated society are complied with. This includes the Annual Performance Report, which
incorporates the Financial Statements which have been subjected to a formal Accountant’s Review,
and filing any changes in Officers or the Rules of the Society.
