RGCCQ Definition of  IMPROMPTU EVENT


          An IMPROMPTU EVENT,   which must be created and registered 48 hours prior to the event by a
          Club Member, is to have a DEFINED DESTINATION with or without a FUNCTION together with
          ASSOCIATED enroute TOURING available to ANY Club Members wishing to participate;
          or, a DESTINATION with ASSOCIATED enroute TOURING, available to ANY Club Members
          wishing to participate.


          There appears still to be some confusion in Club Members minds regarding the use of their Special
          Interest Vehicle registration (Club rego) motor vehicles, especially with regard to the introduction
          of IMPROMPTU EVENTS and the requirement to register such an EVENT on the Club’s website.

             1.  The Club attempts to create club orientated events that members can use their SIV
                 registered vehicle to attend en masse. At least once per each calendar month a location or
                 route is promulgated and these events are considered as Sanctioned  by the Club.
                 NO individual registration is required of each member for these Club sanctioned events.

             2.  There are approximately 240+ registered Car Clubs in Queensland and a large number
                 advertise Events around the State FOR ANY SIV REGISTERED VEHICLE TO ATTEND.
                 Should you as a member wish to attend one of these events, you are free to do so providing
                 you carry a written/printed copy of the event with you to justify your travel in your SIV
                 vehicle.
                 YOU ARE NOT REQUIRED TO HAVE RGCCQ CLUB SANCTIONED APPROVAL TO
                 ATTEND.

             3.    IMPROMPTU EVENTS were introduced in Western Australia and have been copied
                  verbatim by your Club following instructions from the Qld Transport & Main Roads Dept.

                 These Impromptu Events are the enlightened view of the TMR as an alternative to the
                 “LOGBOOK” scheme that is operating in other States, considerably reducing the input by
                 specified volunteer Club officers to administer.
                 Our Club system is virtually automatically activated.

                 When a member wishes to create an EVENT of their own making, merely logging onto the
                 Club website, selecting the correct page and completing the details as required will auto-
                 matically produce an approval, a (sanctioned) copy of which will be sent immediately to the
                 senders’ email address. It is strongly recommended that you carry a printed copy of this
                 approval, however, approval is acceptable on a phone or tablet.
                 A copy of the approval is automatically sent to the Events Co-ordinator of your Club at that
                 time and is kept on a computer file for future reference.  It will also be sent to ALL
                 members and those wishing to take part in the Event are required to phone the Applicant to
                 obtain the requisite details
             4.  DON’T HAVE A COMPUTER or SMART PHONE or ACCESS TO ONE.
                 On these occasions you will have to resort to phoning Club Officer: Neville Kennard
                 0407 485 597. The details he will require from you will be the same as those required for the
                 website application.
                 These details are in our Newsletter/Magazine so keep one handy for reference.
                 Approval will, in these cases, be given by SMS text to the phone that you have lodged the
                 call from.
                 If you have any questions, contact a Club Committee Member, DO NOT PHONE TMR as
                 they do not wish to be involved in the individual club operation of the scheme.

                 Enjoy outings in your Special Interest Vehicle, this is what most owners have them for.
