3) Networked PCs and/or laptops with docking stations/ screens, with the option of switching these onto the independent broadband router
4) A networked printer, with a local cable (in case of network issues)
5) Sufficient stationery, spare consumables, etc.
6) Wi-Fi/Broadband (not dependent on the university
infrastructure).
5.4.5 Drawings, floor plans and site plans
Current drawings, floor plans and site plans should be available online with hard copies available from Physical Planning and Operations (PPO), the PSD and SHE.
5.4.6 Tests and Exercises
It is the responsibility of the CRT to regularly test and review emergency plans and to exercise its response to them. The existence of a plan in itself is insufficient to ensure an effective response to emergencies.
It is generally estimated that 30 % of a plan will be out of date within three months.
The DMP must be under constant review and regular training exercises must be carried out with CRT responders to ensure that the plans work, and that responders know what action to take and can demonstrate their ability to do so.
Training exercises may take the form of:
5.5 Director: Protection Services Division
As the person responsible for the University’s safety and security, the Director: PSD has the following responsibilities:
1) Serves as a member of the Management Team.
2) Initiates contact with the Chair of the Management
Team or designee, and begins assessment of the
emergency condition.
3) Establishes a central Disaster Control Centre on both
campuses and checks all lines of communication. Assumes the role of Emergency Manager if designated.
4) Maintains the university PSD in a state of constant readiness.
5) Serves as a member of the Damage Assessment Team.
6) Notifies and liaises with the SA Police Services, Umhlathuze Municipality Fire Department, and other appropriate government agencies.
7) Maintains communications with representatives of these agencies throughout the duration of the disaster.
5.6 Director: Communications and Marketing Division
The Director Communications and Marketing, or an approved designated staff member from the Division, is solely responsible for engaging with the media. He/ she is responsible for ensuring that communication with stakeholders and the media is in accordance with policy, that the media and stakeholders are updated regularly, and that issues emanating from the disaster are promptly and adequately addressed.
The Director has the following responsibilities:
1) Serves as a member of the Management Team.
2) Ensures that all necessary communication procedures
are in place and ready for deployment
3) Prepares appropriate communication material such
as core messages, briefing documents, updates, media releases, a list of internal and external stakeholders and a media list; prepares dissemination of information to key stakeholders and the media through the appropriate channels.
4) 4)Prepares appropriate up-to-date Disaster Communication File material for all university Employees. This will include various information such as the contact details for the Management Team
and Disaster Management and Response Network and a pocket booklet or card for all employees and students containing concise information on what to do in a disaster.
5) Activates the Communication Team and ensures that appropriate information is disseminated to key stakeholders and media through the appropriate channels.
6) Anticipates and prepares to manage possible negative issues and media play-out and activates an issues management plan should the need arise.
