Refunds on Field Trips
Refunds will be given ONLY if a participant gives notice to site staff in any of the following situations:
decision to not attend occurs prior to the actual trip date allowing for another child to be added to the field trip
death in the family
contagious illness
No refunds will be given to any participants for the following reasons:
over sleeping
forgetting about the trip
a “last minute change of plans”
When a child misses a trip, turn their payment and permission slip in with your field trip envelope. Highlight the name of any child that does not show up for the field trip in case a refund is needed.
On-Site Trips and Movies
Parades, trips to Dairy Queen, and nature walks from your site need to be approved by your supervisor. A signed permission slip for each participant is required in order for the child to attend. (At least two staff members will have to remain back to keep the site open and run the posted lesson plan activities, or the site must close – See your supervisor to determine if your site can remain open during the trip. If the site is open, activities must be scheduled. If the site is closed this must be printed in your lesson plan and newsletter, and with a door sign with trip information.)
If you plan on showing a PG movie, you must have it approved with a supervisor (unless it is on the preapproved movie list). Each child must have a signed permission slip that indicates which movie will be shown, the date/day/time and the rating. You cannot show PG-13 rated or higher movies. G movies as well as pre-approved PG movies can be shown without a permission slip.
Sample permission slips are included in the blank forms binder and Dropbox. Before your permission slip can be passed out, it must be approved by a member of the supervisory staff 2 days prior to distribution. Also be advised that you must run other activities for those children who did not receive or turn in a signed permission slip for the scheduled activity. Do not throw these permission slip away after the event. Please put the permission slips in a manila envelope labeled with the site name, instructor name, trip/movie & the date and turn it in at the next staff meeting.
If you leave your room as a group to go on an offsite field trip or to play a water game or any other outdoor activity, you must be sure that the door is locked and a sign is hung indicating where you are or a staff member must stay back to secure your room and direct participants.
Parents and Field Trips
Parents of children may ask to attend the trip or to follow the bus and come on their own. Parents are not allowed to participate in CTPR day camp field trips. We need to know where the children are at all times. If a parent is present, it would be easy for the CTPR staff to “assume” the child is with the parent. It would be equally easy for the parent to “assume” the child is with CTPR staff. For that reason, children on field trips can only be responsible to one adult – our staff. Parents are not allowed on buses because they would be taking the seat of a child. Parents are encouraged, sometimes required, to attend early childhood field trips to assist with supervision. All bus seats belong to children and staff. Parents, with permission to attend trips, must follow behind the bus.
Special Seating Needs
Parents of our youngest children always have concerns about the safety of their children on buses. Children need a Child Restraint System in a school bus under the following conditions: We will follow all State guidelines for booster seats and car seat requirements. Please notify the CTPR clerical staff 2 days before the trip that a Child Restraint System or Wheel Chair Accessible bus will be needed for a trip – our school districts require several days advance notice.
Field Trip Exemptions
A bus exemption form can be used to exempt a child OUT of a field trip to their parent, guardian, or listed picked up person. A child can never bus exempt INTO a field trip if the site is already active at the field trip. We are a large group in an unfamiliar location and all of our staff efforts have to be devoted to the supervision of our children. A bus exemption form must be in your binder and available at any trip. A bus exemption situation must be approved by a supervisor before the child is released. Be sure to check the adult’s ID before releasing the child. Completed bus exemption forms must be turned into the office at the end of the day.
