FIELD TRIP POLICY
Preparation
Field trips are a fun and exciting component of the playground program. Post notice of field trips in advance. Posting should include the day/date and time that permission slips will be available and any requirements (age, attendance, behavior). When field trips are on Thursday follow the following schedule:
1. Monday (or 3 camp days before the trip): Distribute your maximum number. Write down who you gave a slip to, with due date & time. Slips due back Tuesday by 8:30am.
2. Tuesday (or 2 camp days before the trip): In the morning, see how many openings are left. Distribute new slips at lunch to other eligible children; write down their names, with due date & time. Slips due back Wednesday at 8:30am.
3. Wednesday (or one camp day before the trip): At 8:30 am, collect permission slips from everyone that turns them in,
write them on your field trip list, and be sure you have collected the exact amount of money. If there are still openings left, distribute new slips at lunch to other eligible children; write down their names, with due date & time. Slips due back Thursday at 8:30am.
First Hand Outs & Newsletter Required Items: Provide an explanation about how field trips attendees will be selected based on a completed and returned field trip priority ranking sheet. Not every child goes on every trip due to staffing restrictions. Explain how and when the selected permission slips will be distributed and when they need to be returned by including a given date/time.
Helpful Hints:
YOU MUST KEEP TRACK OF HOW MANY SLIPS YOU HAVE PASSED OUT, you cannot take more than your maximum.
Make sure to write the due date & time on the permission slip.
Ask the children to return unused slips so that another child can use it.
Make every effort to fill the trips. Sites that bring less than a full trip will have their staff re-assigned to a different
site at the trip.
Permission slips that are turned in after the due date, are late and do not have to be honored.
Do not give out permission slips to your teen volunteers unless they are registered participants.
Some L.I.T. volunteers are eligible to attend. Check with your supervisor for permission and details.
Maximum:
The maximum range is from 18 to 54 children, depending on the number of staff. (1 staff member to every 9 children)
Minimum:
If you have 1-9 participants, one staff member stays with your group.
If you have 10-18 participants, two staff members stay with your group.
If you have at least 19 participants, three staff members will stay with your group.
If you have at least 28 participants, all four staff members will stay with your group.
If you have at least 37 participants, all five staff members will stay with your group.
If you have at least 46 participants, all six staff members will stay with your group.
If you have less than 19 (with 3 staff at your site), 28 participants (4 staff at your site), 37 participants (5 staff at your
site), or 46 participants (6 staff at your site), you must call your Supervisor as soon as possible for re-assignment.
What to Bring
Each site must bring 4 bus signs, final money drop, site cell phone, and field trip envelope. Each staff member must bring a first aid kit, list of children on the trip, handbook, and wristbands.
The Field trip envelope will be turned into your supervisor & should include:
Site name
Field trip location
Name of each child who attended & how they paid.
Signed permission slips in the same order as your list.
Total number of participants and amount of money collected. (If amount of money does not balance, please indicate
why.)
