PROJECT DEVELOPMENT AND SERVICES 7.7 Program & Management (continued) Design Management (continued) A collaborative and all-inclusive approach will be adopted throughout the design phases starting with a project kick-off workshop including all design consultants and key stakeholders to align the requirements for the project with the MEAG design guidelines. This workshop will be complemented by weekly design meetings to drive the design progress, capture all comments and manage any value engineering initiatives that may be required to meet the project budget. Our preference is that critical correspondence, coordination drawings and approvals will be managed through a web based document management system like Aconex or similar. Procurement All procurement activities for the project will follow a strict process controlled by the Project Manager in order to ensure that tenders are compliant, transparent, and in no way influenced by external parties. Our team will work closely with MEAG to formulate tender lists for all Suppliers, Consultants and Contractors and present these lists to MEAG for formal approval. We will also work closely with MEAG to develop tender documentation that captures the required information and ensures that each provider has the necessary suitability, experience, expertise and financial viability to ensure successful and risk-free delivery of the works. Additionally, we will ensure that the tender documentation incorporates consideration of the tenderer’s WHS compliance, MEAG’s Health and Safety Framework, Sustainable Supply Chain Management and Supplier Diversity initiatives. Construction and Handover With the nature of such a project, our team will undertake weekly site visits and inspections throughout the construction stage to monitor and report on progress and identify and address any risk items that may impact project progress. Inspections required by all regulatory bodies will be coordinated early on to ensure necessary statutory approvals and certificates are obtained at the earliest possible date. Our team will be diligent in carrying out contract administration duties in accordance with the AS 4902 contract on behalf of MEAG to ensure all obligations of the Principal and Project Manager (Superintendent) under the contract are met within the specific timeframes. As-built drawings, Operation and Maintenance manuals, warranties exceeding the defect liability period and any training for specialist systems or installations will also be coordinated. We shall coordinate, manage and monitor the commissioning activities to be undertaken prior to handover, however this will be the responsibility of the Contractor. We will ensure observed defects are attended to in a prompt manner to minimise the potential disruption to Westpac and its operation. 54
