IS Focus on Passwords Your password is the “key” to gaining access to SHS Group Information Systems. During 2019 the Groups Information Systems department will be providing hints and tips about password management. GOAL: Our goal is to simplify the password management process whilst maintaining security. FOCUS: This month’s focus will be how to avoid missed password changes that result in account lockouts. BEST PRACTICE: In accordance with industry best practice SHS Group security enforces regular password changes, which occur approximately once a month. If you don’t change your password before the last change date passes, you run the risk of an account lockout. How can we help? ALERTS: Windows and Citrix have built in notifications to warn of impending password expiry. We alert you approximately 10 days in advance of expiry. However, we know these warnings can be missed. WARNING: To enhance the warning process we now send out a password expiry email. You will receive this email daily for 10 days before your password expires. Please do not ignore the warnings! EXCEPTIONS: There may be times when even a 10-day warning is insufficient (e.g. holidays, long term absence). How can we help? IMPROVEMENT: We have enabled a process for you to reset your own password without raising a Service Desk call. To avail of this service, you need to activate the service in advance and create security questions and answers. These questions will allow you to verify your identity if your password has expired. ENROL: For enrolment instructions go to the Service Desk self-help FQA on the Larder. SERVICE DESK PASSWORD ENROLMENT FAQ Please take the opportunity to enrol as soon as possible. We will monitor the number of enrolments and issue further communication to provide feedback and to encourage further uptake. Note that the Service Desk Self Service portal allows you to: • Reset your password. • Unlock your account (if you have entered a wrong password too many times). • Manage your security questions. • Access employee Search. Note: You may need to use a colleague’s workstation to access the password reset function if you are locked. 16
