SharePoint also integrates with other Office products, such as Word and Excel. Just like PowerPoint, you can open a Word or Excel document in SharePoint with Word Online and Excel Online. You can also take a peek and preview a file before you actually open it. To do this, click the Details icon in the ribbon. (The icon is a circle with the letter i in the middle.) When you open the details pane, you can see a preview of the document. Word Online is covered in Chapter 11, and Excel Online is covered in Chapter 12. SharePoint integration with Office is covered in detail in Chapter 7.
Document Sets
A feature in SharePoint is the ability to work with documents in a group rather than individually. In a given day, you might be working on documents for a number of different projects. In SharePoint, a Document Set allows you to group documents together based on some criteria and then work with the group of documents as a single entity. For example, you may have a project you are working on for marketing and a project you are working on for accounting. You can group your marketing documents together and group your accounting documents together. You can then interact with the accounting or marketing documents as a single group rather than individually. Using Document Sets, you can send all your marketing documents through a workflow in a batch simultaneously or view versioning for all the documents as a set at a given point in time. Versioning is covered earlier in the chapter and also in Chapter 5.
To begin using Document Sets, first you need to activate the feature for your Site Collection. To do so, follow these steps:
1. Clickthegeariconinthetoprightcornerofthescreenandthenselect Site Contents.
The contents list for the site appears.
2. ClicktheSiteSettingslinkontherightsideofthetopcontrolbar.
The Site Settings page appears showing you all the settings for this particular
SharePoint site.
3. GototheSiteCollectionAdministrationgroupingandclicktheSite Collection Features link.
The Site Collection Features page for this specific Site Collection appears.
4. ClicktheActivatebuttonnexttotheDocumentSetsfeature.
After the Document Sets feature is activated, you can add the functionality to any
library. The Document Set takes the form of a Content Type in SharePoint.
