Should exceptions need to be made, the Club shall have policies in place to monitor interactions, including, but not limited to:
• Disclosing the meeting to Club leadership and regularly checking-in with the member and adult during conversations.
• Placing time limits on conversations.
• Meeting in rooms with clear sight lines (i.e. rooms with windows, glass doors).
• Documenting the interaction.
• Disclosing the emergency to another staff member.
Policy No. 112 – Member Supervision
Boys & Girls Clubs of Greater Scottsdale is committed to providing a safe environment. As such, all Club activities shall always be under continuous supervision by an appropriate adult.
Staff shall NOT:
• Use electronic devices such as cell phones, PDAs, or other communication devices while supervising members unless it is part of approved programming.
Staff shall:
• Abide by the Organization’s one-on-one contact policy.
• Abide by the Organization’s disciplinary policies and procedures.
• Ensure at least three individuals are present when supervising members (one staff and 2 youth).
• Maintain proper ratios.
• Be trained on appropriate supervision tactics and behavior patterns.
• Ensure all youth volunteers are supervised by an adult staff member.
• Immediately notify Club leadership and/or submit written reports detailing supervision issues or
incidents.
• Never leave an area unattended.
Policy No. 113 – Minor Aged Employee and Member Relationships Policy
Because Boys & Girls Clubs of Greater Scottsdale employs Jr. Staff, Club Alum and young adults, there are instances when the employee and Club Member are within one or two years of age. Relationships between employees over the age of 18 and Club members are prohibited on all levels.
Outside social and/or romantic relationships between minor aged employees and members under the age of 18 are not acceptable and can put you and the organization at risk. This behavior can lead to discipline up to and including termination.
All staff members are prohibited from private outside relationships with Club members of any age. This includes but is not limited to babysitting, tutoring, personal coaching, etc. Staff attendance at public events (graduations, plays, sports games) are acceptable if behavior is appropriate, as staff are representatives of Boys & Girls Clubs of Greater Scottsdale.
