Policy No. 700 – External Communications
Boys & Girls Clubs of Greater Scottsdale maintains a positive public image. The organization is affiliated with the National Boys & Girls Clubs of America brand. Only designated agents are authorized to speak on behalf of the organization. This includes written correspondence, interviews, articles, and social media outlets. There is no such provision as “off the record” commentary. Staff are prohibited from providing public opinion on behalf of the organization or its brand. In the case of emergency, authorized personnel will follow the Crisis Communication Plan.
Policy No. 701 – Media Response
All inquiries on stories from the media should be referred to Boys & Girls Clubs of Greater Scottsdale’s Vice President of Marketing & Communications. Staff members are prohibited from answering questions or commenting to inquiry unless directly assigned to do so by the Vice President of Marketing & Communications or CEO.
Policy No. 702 – Club Member Identification in Published Forums
When posting Club member names – Facebook, intranet only the FIRST name and last INITIAL may be used.
For outside forums a Media Release must be signed by the members’ parent/guardian and returned to the Marketing Department. Boys & Girls Clubs of Greater Scottsdale media release cannot be transferred to other organizations/media outlets.
Policy No. 703 – Social Media Policy (Signature)
While social media sites have proven to be useful tools for connecting people and sharing information with a broad audience, the power and permanence of these sites is something that needs to be carefully considered. As an organization, Boys & Girls Clubs of Greater Scottsdale (BGCS) operates several social media sites and uses them to help establish a brand identity, promote projects and events, and disseminate important and timely information. Posts are carefully crafted with the reputation of BGCS and intended audiences in mind.
A staff member may have personal social media accounts, while these are set up under each individual’s name, the lines become blurred when individuals mention BGCS in various types of posts, connecting/friending/following anyone associated with BGCS, and listing BGCS as an employer.
