                 ANALYZE THE WORKFLOW


               1. Think carefully about the work assignments and information you get and share with
                   others. Consider the following questions for yourself:

                    1  Does the flow of work to my desk make good use of my time and
                        effort? Of everyone’s time and effort?

                    2  Does the flow of work provide the right information to customers or
                        others outside the company in a timely fashion?

                    3  Are the materials and equipment needed to complete my work readily

                        at hand or nearby?
                    4  Am I using the features of my office equipment and software to their

                        fullest extent?


               2.  Your answers to these questions should provide clues to simplifying your

                     Work.


               3.  Include these recommendations in your analysis of the workflow.

                    1  Group and complete similar tasks together.
                    2  Combine tasks if doing so will increase your efficiency.

                    3  Determine  how  to  best  organize  and  arrange  the  equipment  and
                        supplies you use to complete a task.

                    4  Enlist the help of others when you have an important deadline to meet

                        and the workload is overwhelming.



                 HANDLE INFORMATION OVERLOAD

               1.  If necessary, take immediate action in any necessary manner.


               2.  If not, put the task on your to-do list and finish it when it's appropriate.


               3.  This will prevent the volume of information becoming too much to handle.
