With respect to confidential information concerning the Company, other employees, the Company’s vendors and
contractual partners, and/or its customers/clients, such information should be safeguarded. Employees should ensure that
confidential or proprietary information is filed and/or locked up before leaving their work areas each day. During the
workday, employees should not leave any sensitive information lying about or unguarded.
Unauthorized access to, and unauthorized release of, confidential information will violate this policy and may result in
appropriate disciplinary action against the employee(s) involved, up to and potentially including termination of
employment, depending upon the severity and/or repeat nature of offense.

3.5 PERSONAL CALLS, VISITS, CELL PHONE USE, AND MAIL SYSTEM
A-MAX Auto Insurance expects employees to remain focused and attentive to their job responsibilities during work hours.
While we understand that occasional personal matters may arise, employees should make every effort to handle personal
business before or after their shift, or during designated breaks or meal periods. Any necessary personal calls during work
hours should be kept brief and infrequent.
To minimize disruptions and maintain a professional work environment, employees should limit personal phone calls, text
messages, in-person visits, and other non-work-related communications while on duty. Company phone lines must remain
available for business use, and excessive personal use of Company or personal phones during work hours may lead to
disciplinary action.
The Company’s mail system is reserved for business-related correspondence. Employees should refrain from sending or
receiving personal mail at the workplace, except for occasional, minor items that do not interfere with operations or
Company resources. Large packages, inappropriate content, or frequent use of the Company’s mail address for personal
reasons is not permitted.
The Company’s e-mail system, internet access, and other electronic communication tools are the property of A-MAX Auto
Insurance. The Company reserves the right to monitor, access, and disclose communications made using its systems, as
permitted by applicable law. Employees should have no expectation of personal privacy when using Company-provided
communication tools or equipment.
Employees must respect the privacy and personal boundaries of others in the workplace. The use of personal or Company-
issued devices to record, photograph, or video any other employee, customer, vendor, or visitor on Company premises or
during work hours is strictly prohibited unless all individuals involved have provided prior consent, preferably written
consent, and the Company has granted approval. This includes audio recordings, even in states like Texas where one-party
consent may be legally sufficient. Unauthorized recordings or photographs may be considered a violation of Company
policy and could result in disciplinary action.
