3.6 NETWORK AND ELECTRONIC RESOURCES POLICY
Network and Electronic Resources—including but not limited to computers, software, email systems, telephones, mobile
devices, internet access, and related hardware—are provided to employees for the purpose of conducting Company
business. These tools are Company property and may be accessed, monitored, or reviewed by the Company at any time,
as permitted by law. Employees should not expect personal privacy when using any Company-provided systems or devices.
All employees are required to follow these guidelines when using Company Network and Electronic Resources:
• Use all electronic systems and tools solely for legitimate business purposes. Incidental personal use may be
permitted on a limited basis, provided it does not interfere with productivity or violate Company policies.
• Communications sent through Company systems may be accessed by third parties (e.g., during audits or legal
proceedings). Do not transmit sensitive or confidential information unless appropriate safeguards are in place.
• Email is a convenient tool but should not replace thoughtful, effective communication. For conflicts or important
issues, prioritize in-person meetings or phone conversations when possible.
• Company policies regarding Equal Employment Opportunity, Harassment, Confidentiality, Personal Conduct,
and Professionalism apply equally to electronic communications.
• Employees must not send, receive, or access sexually explicit, harassing, discriminatory, profane, illegal, or
otherwise unprofessional content using Company systems.
• Passwords, encryption keys, and other access credentials are the property of the Company. Employees may not
alter or share them without authorization. Employees must notify IT or their designated system administrator
of all assigned credentials and report any changes or issues promptly.
• Do not install software or download programs on Company devices without prior written approval from your
supervisor or the Corporate Office.
• Unauthorized use, installation, copying, or distribution of copyrighted, patented, or trademarked material is
strictly prohibited.
• Employees must not attempt to bypass or disable any security measure or monitoring tool installed on Company
systems.
The Company retains the right to monitor and review all activity conducted using its electronic resources, including emails,
internet usage, stored files, and communications. Employees must safeguard their passwords, log off shared systems when
not in use, and avoid granting others access to their accounts.
Inappropriate or unauthorized use of Network and Electronic Resources may result in disciplinary action, up to and
including termination of employment.
3.7 USE OF ONLINE SOCIAL NETWORKING
The Company generally prohibits the personal use of social networking sites during work hours, unless explicitly authorized
as part of an employee’s job duties. Exceptions may include employees responsible for managing the Company’s online
presence or when the Company invites staff to participate in campaigns, surveys, or feedback on official Company social
media.
