Appendix B.1: Recording:
Recording Subprocess
All documents received through mail, in-person, and by email follow the same process. The
document is inspected for recording requirements and standards (A01). If the document is
deemed acceptable by the ROD staff, the document is recorded (A02). If the document is not
acceptable, the ROD staff will reject the request (A02a). The Reject Letter details the reasons the
ROD office cannot process the customer request. Two (2) copies of the Reject Letter are printed:
one to send to the customer and one for the ROD correspondence. Once the document has been

accepted, the document is scanned into the BIS system for recording (A03). The ROD Records
personnel will edit the document image for quality (A04). The document is released by the ROD
staff via pickup or the document is mailed (A05). Microfilm images are then received and
checked for quality (A06) and the microfilm is placed on the floor for the public (A07). The
images are then sent to Wake County for preservation (A08).
