Truth is, even with a world-wide pandemic like
COVID-19, you can continue meeting as a
group or club while staying safe and observing
the new term 'social distancing'.
45% of professional enterprises use either
audio or video conferencing for their total
meetings. And importantly, Robert Rules of
Order, the official manual of the procedure that
governs most organizations with boards of
directors, recognizes the use of video and
audio conferencing for people to participate in
meetings.
Since we will all be remote for our board and
club meetings here are two recommended
solutions for attendees to participate in Lion
meetings.
Solution 1) Meetings by Video:
Best Recommended Service is Zoom
Features: Up to 100 participants for 40 minutes. If you don't have a webcam or cam or don't want to
show your pretty face, you can also phone in to participate in the video conference. If you do use a
phone you won't be able to share documents, media, and computer screens through, like other
participants.
Benefits: Easy for participants to use. Simply create a Lions Club account by going to their site above.
Once registered, to set up a meeting simply click on 'Schedule A Meeting' or 'Host A Meeting'. Once
that is done you simply send the meeting invite they provide to all the contacts that you are inviting
through an email invite they create. When participants receive it they click on the link at the time of the
meeting and follow the prompts. It is easier if participants click on the link when they receive it to follow
the prompts and follow the instructions to see how easy it is. This service also has chat capabilities
while the conference call is going on. Also, having a time limit tends to make your meeting much more
productive.
Cost: FREE - If you want over 100 people participating or over 40 minutes you'll need to subscribe to
their service.
