Our Methodology & Approach

Communications

Project Management Plan (PMP) : We will develop a communications protocol for the project and a detailed Project Management Plan (PMP or
PEP). We have prepared an initial contents list for the Project Management Plan. (Please refer to Appendix G.)

Meetings Protocol : In terms of meetings, we will set up a protocol complete with Terms of Reference. This will ensure clarity on the type of
meetings, their frequency, purpose, the chair and the responsibility for the preparation of minutes .

‘’Friday 0900’’ : We have implemented this initiative on previous similar projects.
This is a weekly meeting with the Development Manager/Client team.
It may be a dial in and should last no more than 60 minutes.
It enables key actions to progress quickly and ensures that ongoing initiatives are progressing in order to facilitate the progress of the project.
We typically prepare a brief minute, project action tracker, programme review and risk schedule.
We feel that this may be useful initiative to consider.

Data Room and DMS : We typically set up a project ‘’Data Room’’ for our projects.
We have already set up a Data Room for the Queens Quay project.
Please refer to Appendix H where we have included a ‘’screen shot’’ of the main page.
The Data Room is operational now and may be accessed by Dawn Developments. (This is subject to providing the secure access information).
In order to demonstrate how this works, we have loaded on the docs which have been provided for this bid.
The Data Room would be a useful reference tool for key project data and can be accessed by those selected by the Client team.
However, we recognise that a DMS has now been created, which is hosted by Service Point. We will administer this system, as is required, for the duration
of the project. Finally, should our Data Room be of use for Client only key docs then, if requested, we are happy to maintain this portal for confidential docs.
