Personnel Records
Personnel records are maintained securely and electronically and are company property. Employees
should promptly update changes in address, telephone, emergency contact information, and
qualifying events for benefits purposes in the UltiPro portal at https://e31.ultipro.com/login.aspx.
Employees may make an appointment with HR to review their personnel file at any time. However, their
file may not be removed from APUS. If they have a question regarding their personnel file, or need
copies of any information in their personnel file, they must contact HR. APUS complies with all state and
local laws regarding access to an employee’s own personnel record.
A manager considering the hire of a former employee or transfer of a current employee may be granted
access to the file, or limited parts of it.
Representatives of government or law enforcement agencies, in the course of their duties, may be
allowed access to file information. This decision will be made at the discretion of APUS or the HR
Department in response to the employee’s request, a valid subpoena, or valid court order.
Individuals no longer employed by APUS may request in writing an appointment to review their
personnel file.
Personnel files may not be taken outside of the HR Department, even by managers.
Rehiring and Bridge of Service
If employees separate from APUS in good standing, they may be eligible for reemployment after a
period of 6 months from the separation date. Employees must meet the minimum qualifications of the
position, submit an application, go through the interview and selection process, attend new employee
orientation, and successfully pass a background and reference check upon offer of hire. Employees who
are terminated for misconduct, or have abandoned their job, are considered ineligible for rehire.
If employees choose to leave the organization, but are rehired within 12 months of their separation
date, they will be rehired with their original start date (as if they never left). For example, if an
employee works for one year; leaves APUS for six months and is rehired; they are eligible for awards
and vacation accrual as if they are starting their second year of employment. Additionally, employees
who are rehired within one year of their separation date will have their unused sick leave accruals
restored on their new start date. The bridge of service does not change eligibility requirements for
