Special Event Frozen and Perishable Product Return
Customer Agreement
Special events are unpredictable by nature. These events in most cases require some speculation as to the
quantity of frozen and perishable product necessary to support the event. By definition a special event will
be an event that requires a Ben E. Keith furnished trailer to be on site during the event. Examples of these
types of events are……. Car Races, seasonal fairs, weekend fairs, festivals, concerts, River fests, Golf
tournaments etc. The single common thread is that these special events are not year round venues.
If Ben E. Keith maintains the care, custody and control of the product within the trailer, this trailer is
considered an extension of the warehouse. Ben E. Keith will be responsible for security and temperature
control of the trailer. Data Recorders are required in both the freezer and the cooler compartments to monitor
the temperatures during the entire length of the special event trailer loan. Returns are subject to the special
event return procedures listed below.
If the customer maintains the care, custody and control of product on the trailer, the trailer is considered
as additional storage for the customer. Likewise Data Recorders are required in both the freezer and the
cooler compartments to monitor the temperatures during the entire length of the special event trailer loan.
Only Ben E. Keith items may be stored on the trailer. The following products are not available for return –
produce, dairy, fresh bread, any fresh meat, poultry or fish, special order items or any HACCP flagged item
from Ben E. Keith.
Returns are subject to the following food safety procedures:
1. The trailer will be outfitted with a data recorder to record temperatures during the entire time the
trailer is on loan. Product must be kept at proper Temperatures (Below 40° for cooler items and
below 20° for freezer items).
2. Credit will only be issued for product in its original unopened carton that shows no signs of thawing
or cross contamination.
3. The product must remain on the storage trailer until needed by customer. Once removed from the
trailer it becomes property of the customer. Customer guarantees that the product offered for return
credit has not left the trailer.
4. The BEK Division supplying the trailer must have an event return coordinator or return person. The
event coordinator or returns person must be trained in food safety to be qualified to inspect product
returned from customers and insure that product is safe to return to inventory. Only product that has
potential to be returned to Ben E. Keith inventory should be on the trailer when it is returned to the
Division.
5. Once product is at the Division any product deemed unacceptable to return to stock will be disposed
of. Documentation and/ or pictures will support the disposition.
