Ordering Process:
1) Every couple of weeks, check the current supply of both the 8.5x11 and 11x17 color
copy paper in the mailroom. Please also email the following people to see if additional
paper is needed in another office:
a. Susan Nelis – Monroeville
b. Cindy Shoemaker– Frisco
c. Evangeline Gutierrez – San Bruno
2) When the supply drops to about 5 cases of 8.5x11 in CLT, let your Manager know to put
in a Document Design Services ticket for you under the category of “Paper Order.” You
will need the Solutions ticket number for your order as this is used as the Purchase
Order # on the invoice (see Example Email on page 3).
3) Based on the current count of paper in CLT and the email responses received from other
office locations, go ahead and place an order with Graphic Impressions (see Example
Email on page 3).
4) Add an entry onto the “Business Services Marketing Deliveries” calendar to note that a
delivery will be coming in (see screen shot on page 4). This helps with coverage in the
event you are out of the office when the delivery is made.
5) When the order arrives, coordinate the UPS shipments to ensure that each office
receives the paper they requested.
6) Finally, Graphic Impressions almost always forgets to put the Purchase Order # and
Billing Code on their invoices, so Chris Davis may reach out to you for this information at
a later date.
