Document Management Team Print Vendor Order Placement Guideline
DETAILS TO KEEP IN MIND WHEN PLACING ORDERS
When placing orders, it is important to remember that both the quote and the order will
go by total number of ‘pieces’ and not by total number of boxes/cases.
Letterhead
Letterhead is delivered by both the box (for small orders) and by the case (for large orders). When
placing orders for ‘cases’ of letterhead, they will not be packaged separately in boxes of 500 within the
case. When a request is received for letterhead, associates will commonly refer to their order in ‘boxes’
or ‘cases.’ If they say ‘x’ number of boxes, you would count 500 pieces of letterhead per ‘x’ boxes and
place your order in PageFlex for the total pieces of letterhead. If they order ‘x’ number of ‘cases,’ it would
be 3,000 pieces per case specified. Note: It is not common to order boxes.

Note: Letterhead can be ordered primarily through Boingo (or Graphic Impressions if they still hold inventory for some items). All
print vendors produce ‘reprints’ which are provided at a discount for returning customers. The benefit here is that they will already
have the required artwork, have the specifications to reprint the job exactly based off the last order, we receive the discount for a
reprinted/return customer job and we do not split up current inventory.
Envelopes
Our most common envelope order is for No. 10 Envelopes. These envelopes are delivered by both the
box (for small orders) and by the case (for large orders). Envelopes are lighter, so the print vendors will
typically deliver 6 boxes in a case for large orders, or by the box for smaller orders. When a request is
received for envelopes, associates will commonly refer to their order in boxes or cases. If they say ‘x’
number of boxes, you would count 500 envelopes per ‘x’ boxes and place your order in PageFlex for the
total number of envelopes. If they ask for ‘x’ number of cases, you would count 3,000 envelopes per case
and place your order for the total number of envelopes.

1 box = 500 envelopes/pieces

Color Copy Paper
Color Copy Paper is a special order and separate from the current stock that is supplied in the workrooms
for the copy machines. This paper is a higher quality and increased thickness to provide an added
professional touch to printed materials that Lash Group produces for its clients. When color copy paper is
needed, the order should be placed through Chip Galloway at Graphic Impressions.
Paper Type: 70lb. Text, Smooth, Accent Opaque White
1 case = 8 reams of paper / 4,000 sheets per case
1 ream = 500 sheets
Commonly Order 10 – 12 cases at a time as we supply all office locations with this paper.
Monroeville – 1 case commonly shipped
Frisco – 1 case commonly shipped
San Bruno – 2 cases commonly shipped
Charlotte – 8 cases commonly ordered
