Submission Process
• Once an author(s) and I have reached a final version on a manuscript, it is time to
submit to the journal.
• Different journals have different submission processes (i.e., Editorial Manager,
ScholarOne Manuscripts, Elsevier Editorial System, etc.), all with varying levels of
labor and time intensity (what type of information and documents must be
hunted down and provided).
• I am not just submitting the manuscript; I am also submitting various tables,
figures, copyright and licensing agreements, cover letters, etc.
• Some faculty prefer that I send them a pdf of the submission before I (or they)
approve it, which extends the process.
• If revisions are necessary on a manuscript, that’s another process (below).
Revisions/Reformat Process
• I also assist if a manuscript is sent back to an author for revisions or an author
wants to reformat a manuscript for another journal.
• For reformatting, once a new journal is selected, I reformat the already edited
paper to the new journal’s guidelines/specifications; this could be minor or
major. It depends on the journal the paper is coming from and the journal it’s
going to.
• We then move back into the submission process with the new journal.
• With revisions, I assist in editing the Response to Reviewers document and in
matching it to the manuscript and with revisions to any other documents that go
with the manuscript. I will then resubmit the paper to the original journal.
Posters/Slide Presentations
• Throughout the year, there are various conference and meetings at UF, across
the county, and internationally for which faculty and residents need posters and
slide presentations.
• The Department has a poster template and a slide template. Please use these
when creating your presentations. They are posted on our intranet or you can
ask me to email them to you. If a faculty support person or I am sent a poster or
slide set in the wrong template, we have to spend significant time re-doing it in
the correct template.
• In general, posters and slide presentations need to be made ahead of time in
PowerPoint by a faculty member or another co-author. A faculty support service
