Constitution and Bylaws
A. Administrative: maintaining a central chapter location for all
administrative duties, process all inbound calls, order office
supplies as needed, retrieve mail from P.O. Box and provide
a courteous and timely response to all phone calls and
correspondence.
B. Board of Director Meetings: maintain the current list of
Board of Directors and Committee Chairs, prepare and
distribute board meeting agenda, coordinate board meeting
venue, attend monthly board meeting and record meeting
minutes and distribute to Board Members and prepare
monthly Association Manager report.
C. Programs: prepare and send General Membership
meeting and any event notices to members, coordinate
meeting arrangements with venue, receive all RSVPs and
prepare listing, setup and handle registration at all General
Membership meetings and/or events and reconcile General
Membership meeting and/or event attendance.
D. Membership: update and monitor membership database,
process and send dues renewal invoices, prepare annual
membership directory and distribute to membership and
solicit advertising for annual membership directory.
E. Financial: processing and keeping an accurate account of
all monies received or paid out by the Association, collect
all membership dues, process all invoicing to be paid by
Association, ensure all checks written by Association receive
two signatures and always one of the two be of an existing
Board Member, prepare and distribute all invoices for
advertising, prepaid meals and other receivables, monitor
and collect all delinquent receivables, process all credit
card payments and bank deposits, maintain complete
and accurate documentation for all financial institutions,
update checking account signature cards annually, complete
monthly financial reporting to be submitted to Board of
Directors for approval and prepare annual budget with help
from Board of Directors.
F. Website, Newsletter and Miscellaneous Tasks: maintain
Association website, prepare and post monthly newsletter
and distribute to membership, process and distribute any
email distributions to membership and assist Board of
Directors with any additional tasks requested.
