8. Recommendations
Quite a few Lodges are facing problems with the Banks with regard to KYC Issues. All the Banks are insisting on a “registration certificate”; it is requested that the Grand Lodge issue some document to the daughter units to certify that they are an unit of the Grand Lodge or a miniature (A4 or Legal size) “Warrant”.
We have made provision to generate the following forms through REGAL and we request the Board to accept these e-forms:-
(1) I/IJForms-thesewillbeautogeneratedwheneverthereisaninitiationorjoining.
(2) GrandLodgeCertificate-thesewillbeautogeneratedwheneverthereisaceremonyofraising. (3) Installed Master’s Certificate - these will be auto generated whenever the Installation report is
filed.
It is also recommended that the fees for the above be collected along with the half yearly / annual returns.
Many brethren have complained that the honour fee paid to the Grand Lodge has not been accounted for and they have been deprived of the rank offered and paid for.
There have also been quite a few instances where the fees paid along with the HYR / AR have not been accounted / presented for collection by the Grand Lodge.
It is recommended that the Grand Lodge opens a ‘net banking’ facility; RGLSI has opened this with HDFC Bank. This will ease the work of the accounts department considerably and also ensure that all payments are acknowledged.
The rule 124 of the Book of Constitution stipulates that the notice be served by registered post with acknowledgement etc. It has recently been ruled that “Notice sent via WhatsApp is valid”; we feel that we should amend the rule to make notices served by email to the registered address be valid.
RGLSI has come out with a Treasurer's’ module to enable the standardization in the accounting practices of all the units. This is a very simple system and even those who are not familiar with accounting principles will be able to operate this. We recommend that this be adopted at the Grand Lodge level.
