In the patient’s chart, Auth/Ins Visits will show the # of visits used out of the total #
Authorized (i.e. 1 of 8 Authorized) and the date the authorization Expires. Any notes and
authorization details that were entered in the patient’s case will display next to Additional Info.
a. If an authorization’s date range has expired, then it will display as (Expired on
______).
b. The number of visits used (__ of __) will automatically update as PTs finalize the
note from each appointment.
a. IMPORTANT! IF A NOTE HAS NOT BEEN FINALIZED, THEN THE #
OF VISITS USED WILL DISPLAY INACCURATELY.
i. To ensure accuracy, the Coordinator must open the patient’s
Previous Appointments and physically count the number of
visits that have been used during the authorization’s date range.
Edit patient appointments on the WebPT schedule to indicate/track visit numbers and to
communicate authorization status to PTs. Edit appointments by adding a Note on the
appointment and/or changing the Appointment Type. Below are examples of edited
appointments to reflect authorization statuses:
A. An authorization request has been submitted and the clinic is waiting for the response
(Appointment Type changed to “Training” orange color to indicate auth pending).
B. A patient is nearing the end of their approved number of visits (I) or expiration date (II).

C. The patient’s last approved visit where either the PT will complete a re-eval/progress
note or the patient will be discharged (Appointment Type changed to Re-Evaluation red
color).
