A meeting is instantly created, and all the email participants are included in the meeting. The subject of the email thread instantly becomes the subject of the new meeting. This major timesaver increases efficiency on a number of fronts.
Enhanced voicemail
A nifty aspect of Exchange Online is that it includes a unified messaging compo- nent. Unified messaging means that different types of messaging are tied together. In this case, we are talking about a physical phone. You remember when you used to have to actually wait for a dial tone, right? Yep, that is the type of voice phone we are talking about.
Exchange Online can be used as your voicemail system and automatically tran- scribe a message that is then sent to your email or texted to your phone. Need to check your email but don’t have Internet access? Exchange Online has a dial-in interface for callers. All you need to access your email is a phone. Listening to your email may take longer than glancing at your smartphone but at least it is a possi- bility. This functionality extends email access to anywhere with a phone.
Protecting Information
One of the most important aspects of any system is the protection of information and compliance with company and government rules. Exchange Online is simple to use and administer, but don’t let that fool you. Under the covers, Microsoft has spent a tremendous amount of effort on protecting you from digital threats and making sure that you are in compliance without hindrance.
Archiving and retention
Each person has an email box as well as her own archiving system. An archive shows up in Outlook as another mailbox, as shown in Figure 3-4. The intended purpose of the additional archiving folder is to store older email in a permanent storage location. You can think of your archiving folder as your electronic attic or basement. You can go in there to retrieve stuff if you need to, but it is really a long-term storage location.
The size of a user mailbox and archive are dependent on the SaaS plan. Some plans have a maximum mailbox capacity and others have unlimited archiving capacity. For more information about the plans that are available and the resources allo- cated for each plan, check out Chapter 18.
