Policy No. 408 – Member Supervision at Offsite Sports Practices
Any program interaction with youth participating in sports leagues sponsored by Boys & Girls Clubs of Greater Scottsdale required adherence to agency policies, even if interaction occurs offsite. This includes no one-on-one contact between coaches and non-related members/players.
Volunteer and Assistant Coaches must be cleared by Boys & Girls Clubs of Greater Scottsdale in order to hold practice. If anyone is going to be leading a practice, that person must be background checked. Parents/Guardians helping once do not have to be checked if there is always a background checked coach at practice, including until all the players are picked up at a practice that is outside of our facilities. Refer to Background Check Policy No. 203 for additional details.
For off-site practices, the following are required:
• A safe, appropriate site
• A background checked coach present always during the practice and until all the players are
picked up
• A first aid kit available
• A phone available
• Another adult to wait with coach until all the players are picked up
Policy No. 409 – Member Supervision on Field Trips
All swimming trips require a certified lifeguard to be on duty and must be on the pre-approved list of field trip locations approved by the CEO found at shared/Field Trips/ folder.
Field Trip Lead Supervisor
The Field Trip Lead must be a staff member over the age of 18. If more than 100 members are attending the trip, a Full-Time staff member must also attend, unless otherwise approved by the CEO. The Field Trip Lead will not be responsible for supervising a group of members (unless it is a one-group, small field trip), instead this staff member is responsible for:
• Signs off on all attendance sheets to ensure accurate rosters.
• Double checking all small group lists prior to leaving the Club.
• Ensuring a copy of the field trip roster is left at the Club (with Lead Supervisor Cell Info and trip
return time).
• Having an accessible cell phone always.
• Ensuring all chaperone have agreed methods of communicating with Lead Supervisor.
• Overseeing staffing and supporting needs for breaks.
• Overseeing safety of all members.
• Maintaining the master list of all attendees and all permission slips.
• Ensuring all member medications are carried on trip, i.e. inhalers, Epi-pens, etc.
• Managing all major discipline issues and injuries.
