• Completing all reporting and communicating details with Branch Director or Full-Time staff-in- charge at the club.
• Responsible for ensuring that members return to the club by the designated time or communicate if unavoidable delay occurs.
• Handling purchase order payments and turning in receipts to Youth Development Supervisor or Branch Director.
• Ensures that the Branch Director or Youth Development Supervisor receives receipts for activities, copies of accident reports, and is informed about any issues with the venue or behavioral issues with specific kids.
Small Group Supervisors
The Small Group Supervisors must be a paid staff member of the Club. The Small Group Supervisors will be responsible for a group of 8-12 kids while away from the Club. They are responsible for the direct supervision of all members assigned to their group. The Small Group Supervisor is responsible for ongoing communication with the Lead Supervisor throughout the field trip. Eyes on supervision is necessary. The Small Group Supervisor is responsible for:
• Ensuring accuracy of small group roster of field trip participants.
• Ensuring all kids are accounted for before leaving the Club.
• Ensuring all kids are accounted for before leaving the field trip site.
• Ensuring all members are behaving appropriately, behaving appropriately and safely.
• Remaining with assigned group or area for the duration of the field trip.
• Informing the Lead Supervisor of any issues immediately.
• Ensuring that the Lead receives all signed attendance sheets upon arriving back to the Club.
Types of Trips
All swimming trips require a certified lifeguard to be on duty and must be on the pre-approved list of field trip locations approved by the CEO found at shared/Field Trips/ folder.
• Contained – Typically indoor field trips on sites where entrance and exits are somewhat restricted. Examples of these types of field trips are: Roller or Ice Skating, Chuck E Cheese, and Movie Theaters.
• Heightened - These field trip sites may have entrance and exits that are somewhat restricted but the quantity of non-Boys & Girls Clubs participants, the size of the venue, the proximity to or presence of water or vigorous activity creates a heightened risk of injury or security to members. Example of these types of field trips are: Castles N Coasters.
• Non-contained - These field trips sites typically have no main entrance or exit and no exact boundaries. Examples of these types of field trips are: Parks, the Mall, the Circus, and Pro Sporting Events.
Permission Slips/Liability Waivers & Check-In Procedures
Any member who would like to participate in a field trip must have a completed permission slip signed by a parent/guardian. The permission slip must include the date, specific location of the trip, departure and arrival times. Unless in an emergency, locations not identified on the permission slip should not be visited. For the summer, Clubs may use one field trip form with the date, specific location of the trip, departure and arrival times for multiple trips but must have parent/guardian signature or initials for each
