Section 2 - Instruction on how to use the incident
reporting app
Introduction
HSS Hire has developed an app that can used to report vehicle incidents to our insurer, as an alternative to
reporting it over the phone. It will allow drivers to report the incident real-time, in an accurate and detailed
manner. It has functionality to take pictures of the scene, use GPS to get an accurate location and a link to the
DVLA to ensure vehicle registrations are accurate.
It is crucial that you use the app at the scene of the incident when it is safe to do so. A lot of valuable information
that can be noted at the scene of an incident.
Once you have completed your report, you can submit it and the app sends an email to both the HSS Fleet
Department and AA Accident Management. An email will be sent to confirm to your transport that it has been
received.
You should still need to use the HSS Vehicle Incident Log to exchange details with any other parties involved in the
incident. This provides clear contact details for our insurers and reduces the risk that they will start talking to
unscrupulous accident management/personal injury firms that inflate costs.
Getting Started
You will need to enter some personal information such as your name and date of birth. This supplier has been
checked and is fully compliant with all data protection legislation
• When entering your date of birth, tap on the year (top LH corner)
first and this will reduce the amount of scrolling
• Enter the email for your transport department – for example,
manchester6113@hss.com. Ask your TM if you are unsure
• Enter the phone number of your HSS Smartphone
• You will be sent a verification code via text to complete the setup.

If the app asks you select an insurance policy, please select the option for Motor. You will then need to select your
transport location from the dropdown list.
