• Keep your tone professional and focus on the information most relevant to your
purpose.
2. Break it Down into Paragraphs:
➢ Don’t write one giant block of text! Divide your information into clear paragraphs. This
makes your letter easier to read for the recipient.
➢ Aim for 3-4 concise paragraphs in the body.
• Step 8. Conclusion
You’ve crafted a clear and informative message in the body of your letter. Now, it’s time to tie
things up nicely in the conclusion. Here’s how to do it like a pro:
1. Briefly Summarize Your Request (Optional):
If you’re asking for something specific, like an interview or a decision, you can gently remind the
reader at the end. Don’t rewrite everything, just a one-sentence reminder is enough. For example:
• “I look forward to hearing from you regarding the internship opportunity.”
• “Thank you for considering my application for the position.”
2. Express Appreciation and Next Steps:
Thank the reader for their time and consideration. You can also mention what you’ll do next,
depending on the situation. Here are some options:
- “Thank you for your time and consideration.”
- “I appreciate you taking the time to read this letter.”
- “Please let me know if you require any further information.”
