Prior to commencing on-site work a joint meeting with the client, salesperson and project
manager should be arranged. The client should be informed in writing regarding responsibility for
project administration, on-site work and financial matters. Identifying in writing the division of
responsibility and specific persons for the client to contact, should avoid conflicts and uncertainty
for a client that will be looking for answers to questions throughout the duration of the project.
The Project Manager should confirm in writing to subcontractors and retained
professionals that all correspondence and verbal communication must be through your office and
never directly with your client.
When the site has been set-up and temporary provisions in place the Project Manager
should arrange and attend at a meeting with the Site-Supervisor and Client. Although the client
should already be aware of the Site-Supervisor and his responsibilities, a personal introduction is
important. Usual procedures will have the Site-Supervisor attending the project site on a daily
basis and therefore should be formally introduced to the client.
Due to the importance of completing a project on time and within budget, an incentive for
meeting certain objectives and targets should be considered. The Incentive-Reward System is
common and used in all types of business. The accuracy of your project schedule and
construction budget will be significant when considering Incentives.
