What is OneSpan?
OneSpan is an electronic signature software which replaces DocuSign.
When should OneSpan be used?
OneSpan is to be used whenever a customer is not present in the office to sign their documents
(ex: over the phone sales, text, chat, etc.). This includes all new business, endorsements,
monthly payments with an agency fee, etc. transacted remotely.
Can OneSpan be used when a customer is in the office?
Currently, if a customer is in the office, printed documents should be signed. However, we are
working to digitize this process with the help of OneSpan. Stay tuned!
Do I need to use OneSpan when only collecting a monthly payment/re-instatement over the
phone?
OneSpan should be used if the agency fee amount charged on a monthly payment is above $3.
Do not charge an agency fee less than $3 for a monthly payment over the phone.
Which browser should I use and how do I log in?
Use RoboForm to sign into OneSpan in the Chrome web browser.
Do I need to place signature blocks on documents?
Several of our top carriers will be automated in OneSpan. This means that all you must do is
upload the PDF to the website and the system will place all applicable signature and initial
blocks. The list of automated carriers will continue to expand over time. Currently, this
automation can be used for:
• All Sea Harbor
• American Access (if saved from carrier using the blank Pen & Paper option)
• Infinity (if saved from carrier using the blank Pen & Paper option)
For carriers which are not automated, you will select the “All other Carriers” option and place
applicable signature, initial, and date boxes.
How should I save the documents that I receive from the carrier?
Documents should be saved as a PDF when received from the carrier’s website. Do not “Print
to PDF”, use screenshots of documents, or use scans of printed documents. Doing so will
prevent the system from being able to read the document and place the applicable signature
blocks.
Can I sign as an agent on carrier documents?
Yes, OneSpan has the ability for you to sign documents as the agent. They will be signed as A-
MAX Insurance Services, Inc.
