2.9 PERSONNEL RECORDS
A-MAX Auto Insurance maintains a personnel file on each employee. The personnel file includes such information as the
employee’s job application, résumé, records of training, documentation of performance appraisals and salary increases,
and other employment records.
Personnel files are the property of the Company and access to the information they contain is restricted. Generally, only
supervisors and management personnel of A-MAX Auto Insurance who have a legitimate reason to review information in
a file are allowed to do so.
Employees who wish to review their own file should contact the Human Resources representative. With reasonable
advance notice, employees may review their own personnel files in A-MAX Auto Insurance offices and in the presence of
an individual appointed to maintain the files.
2.10 EMPLOYMENT OF RELATIVES
A-MAX Auto Insurance and its affiliates hire employees’ based on their experience, skills, and qualifications. Employees
with family members interested in working for the Company must apply through the normal channels. Special
consideration will not be given to employees’ relatives.
Although the employment of relatives is permitted, hiring a relative of an employee into a role that would place him or her
as the employee’s supervisor or subordinate is prohibited. Relatives cannot be in apposition in which they can influence
decisions regarding the status of employment, promotion, or compensation affecting another relative. In order to reduce
potential conflict of interest, applicants will not be considered for employment in a position in which they would be subject
to supervision by a relative.
Family member is usually defined as one's spouse, parents, domestic partner, grandparents, children, grandchildren,
siblings and immediate in-laws (mother-in-law, father-in-law, brother-in-law and sister-in-law). Adopted children and
stepchildren also count as immediate family members.
2.11 ANTI-RETALIATION AND WHISTLEBLOWER
This policy is designed to protect employees and address A-MAX Auto Insurance commitment to its core value of
integrity and ethical behavior. In accordance with anti-retaliation and whistleblower protection regulations, A-MAX
Auto Insurance and its affiliates will not tolerate any retaliation against any employee who:
• Makes a good faith complaint, or threatens to make a good faith complaint, regarding the suspected Company
or employee violations of the law, including discriminatory or other unfair employment practices;
• Makes a good faith complaint, or threatens to make a good faith complaint, regarding accounting, internal
accounting controls, or auditing matters that may lead to incorrect, or misrepresentations in, financial
accounting;
