Changes were made to the approval process due to the consolidation, for efficiency. Previously,
teachers would request a field trip and the request would automatically go to their Division
Leader. Once the Division Leader approved the field trip, the request would go to the Associate
Principal of Operations for approval, followed by the Associate Principal of Educational
Services, then to the Principal for the final approval.
Once these administrators approve the trip, it would come to the Director of Transportation for
bus scheduling. The director enters the trip information into the Trip Request form (artifact A)
which is then emailed to the respective bus company. Charters are handled by Illinois School
Bus, which delegate routes to the sister companies, Kickert, Paige, and American School Bus, as
needed. The bus company would then email me confirmation of receiving the request and their
ability to service the request. The director then enters the bus information into KissFlow,
including a copy of the trip request sent to the bus company, and complete the request. KissFlow
sends an email to the teacher to inform them the process has been completed and a bus has been
ordered. If there are any concerns or questions, administrators have the ability to send the request
back to the teacher or a previous administrator to get clarity.
The new flow process starts with a teacher request that automatically goes to the Division
Leader. Since students are between two campuses, the process then comes the Director of
Transportation. An email is sent providing a copy of the field trip request to the 3 Associate
Principals and the Principal for approval. Once the 4 administrators approve the trip, the same
transportation request process is followed.
After submitting the request to the bus company, the information is entered the location of the
trip, along with who made the request, on a master calendar. By doing so, the director can track
all trips and pull needed data when it is time to pay the invoices.
