7.0 Vehicle Servicing Monitoring
Each Group Company must ensure there is a process of reporting and monitoring the vehicle service
process.
This monitoring should include a robust process for auditing to ensure that the vehicle servicing policy is
being correctly and consistently adhered to. This will include:
Servicing is being carried out to the correct specification and time intervals as determined by the Group
Companies policies.
The correct documentation or system is being completed fully and correctly.
All required checks are being undertaken and appropriate parts replaced and dated where required.
Oils, lubricants and fluids are being changed at the correct intervals and storage, dispensing and waste
activities are adequate and being utilised correctly.
Any deferred or ‘missed’ services are being re-planned for completion in good time
Documentation is being signed off before the vehicle is released for service
Any rectification work is to the required standard
Defect management is in line with policy in terms of rectification, deferral and signing off as serviceable.
Where any part of the process is not compliant with Group Company local policy, manufacturer’s
requirements and the requirements to this Global Standard, remedial action must be put in place to
address any shortfalls immediately. Any root cause is to be identified and actions put in place to remedy
any non-compliance.
Where external factors suggest a change, alteration or addition to the service regime will enhance the
safety, prolong component wear or increase sustainability of any assets these should be considered
through thorough and rigorous technical assessment and safety validation.
