Where service dates are consistently missed a process of review must be undertaken to establish the root
        cause and the service plan reviewed and adjusted accordingly and in line with the requirements of the
        policy.



        1.5.1      Lean Principles




        Group Companies should, wherever possible, adopt ‘lean’ principles as part of their servicing process, this
        may include ‘kitting’ of parts and delivery of parts to racking where servicing is undertaken to avoid
        unnecessary journeys to and from where parts are stored.

        Any principles that are adopted to reduce vehicle downtime that do not compromise safety or quality are to
        be embraced and any best practice shared between Group Companies.



        2.0        Defect Reporting




        All defects found during servicing must be recorded on the relevant documentation or system. Any defects
        identified during routine servicing must be reviewed by a competent and authorised engineer or designated
        person in order to make a decision on serviceability of the defect or defects and actions to be taken.

        There must be a process in place to clearly document any defects identified and any remedial work, or
        decisions taken, regarding the defects reported.


        For defect management refer to Global Maintenance Standard 3 ‘Vehicle inspection’.




        3.0        Sign off & Roadworthiness



        Group Company policy that covers vehicle servicing must include a clear description, with defined levels of
        responsibility, for vehicle sign off and declaration of roadworthiness.

        Documentation, or systems, used to record servicing must include a declaration of roadworthiness and be
        signed, with traceability, by an authorised person. Vehicles that have defects identified on service must not
        be released for service until this sign off has taken place.

        Documentation used to record the results of any scheduled servicing and any defects or rectification work,
        including deferred defects, must be kept for a period of time defined by local legislative requirements, or
        where these do not exist, at least 15 months.
