Where there are checks for wear or condition of components and fluids, provision must be made on any
documentation to detail the check required and record tolerances/measurements where appropriate, as well
as provision to detail any component or fluid changes.
Where appropriate vehicle servicing documentation can include an ‘expected’ time to complete a service
activity. This can be based on experience or manufacturers guidelines, or both, and can be used to help
utilise workshop resource and aid workshop planning.
1.4 Service Plan
Group Companies must ensure that they create and have available, either paper based or digitised, a
service plan that details all vehicles in their fleet. Any plan must directly reflect service frequencies
determined in section 1.1 and cover at least 12 months of forecasted servicing. All relevant plans must be
displayed or made accessible at all relevant sites and service centres to enable robust workshop planning.
Where manufacturers carry out contract maintenance the plan may be established, maintained and updated
by the contractor. This is deemed to be acceptable.
1.5 Workshop Planning
Group Companies must ensure that any servicing plans accurately reflect, and effectively use, available
resource. This means that there may be a need to ‘stagger’ services on vehicles entering the fleet
as part of new deliveries, cascades or fleet movements to avoid peaks in demand for resource.
Note that this may require vehicles to be serviced prematurely, however the benefits of forecasting resource
demand for servicing and planning to prevent peaks is essential to ensure servicing is completed on time.
All workshop planning must be carried out by a competent person.
To achieve a balanced work plan, some adjustment to the service intervals may be required. This must be
approved by a competent person. Where this occurs there must be appropriate and suitable documentation
maintained.
Group Companies must ensure that where vehicles are not in use for any reason, servicing is suspended.
This will include a mechanism to pause or halt servicing on vehicles that are off the road for prolonged
periods of time.
Group Companies must ensure there is a robust process for removing vehicles from service that have
exceeding service intervals. Engineering Directors, or equivalent must ensure they set a defined period at
which vehicles are removed from service should servicing not be carried out.
