1.1        Vehicle Servicing Frequency



        Group Companies must ensure that all vehicles are maintained to the required service intervals throughout
        their life cycle.

        Group Company Engineering Directors (or equivalent) must there is in place a robust service schedule, or
        schedules, for all vehicle types and variations where required (for example for varying engine and gearbox
        configurations on the same chassis) and duty cycles.

        Service intervals may be mileage based, time based, or on component condition. Where time based
        frequencies are utilised these must be based, approximately, on duty cycles over a defined period of time.
        Service intervals must be set by a competent person or persons.

        Note that service frequencies may vary by vehicle type and may also vary between depots where duty
        cycles are significantly different.

        Group Companies must ensure that all service schedules and intervals are, where possible, agreed with
        the respective vehicle manufacturer. Warranties are in place servicing schedules and intervals must be
        agreed by the manufacturer to ensure warranties are honoured.

        Where vehicle manufacturers no longer exist or the vehicle is no longer supported by the manufacturer,
        industry best practice should be applied to define the service frequencies required. This may be supported
        by condition monitoring and advice must be sought where required.

        Group Companies must ensure that any variations to the manufacturer’s recommendations are agreed and
        authorised by the Engineering Director (or equivalent) in the first instance, and agreed, where appropriate
        with the manufacturer. Where variations are agreed Group Companies must exercise appropriate change
        control and keep all documentation and approval paperwork.

        This is mandatory where Group Companies use condition monitoring techniques, such as oil sampling, to
        determine service frequencies.

        It is recognised that some service intervals may be historic and based on experience or operations
        component reliability, where this is the case, existing service intervals may be signed off by the Engineering
        Director (or equivalent) without full validation.


        1.2        Vehicle Servicing Content & Criteria




        Group Companies must identify and apply all required servicing in line with manufacturer requirements,
        Company policy and experience and industry best practice where appropriate.

        Suitable and adequate instructions on how to carry out all servicing tasks must be made available to those
        discharging the tasks. This will include primarily the manufacturer’s specification, but where required must
        also include any technical instructions or method statements.
