3. Have you ever experienced losing track of your appointments?
Sample answer:
No, I’m aware of keeping schedules and appointments, so I have never reached that
point. Having a PDA and a reliable secretary helps me keep up to date. I make it a
point to check my calendar at least twice a day to ensure that I won’t miss anything.
1. You are a secretary of a Senator. He has a hectic schedule for the coming
week. As a secretary, you organize his appointments to avoid confusion.
This morning, he got an invitation from the public drivers association to dis-
cuss about the oil price hike. However, his commitments are fully booked.
Sample answer:
Good morning, I’m Lindsay, Senator Kent’s secretary. I regret to inform you that his
schedule for the coming week is completely filled up. He has consecutive meetings
after the Senate session. I understand how important your agenda is. I will definitely
find a schedule for your association for the next week. Would that be fine with you?
I’ll keep in touch if there are any updates, but I’ll make sure you’ll have a slot by next
week. Thanks very much.
2. You were so busy the entire day and your boss had a lot of meetings and
appointments. Unfortunately, you’ve missed an appointment. You failed to
put the one-on-one meeting with the Site Director on his schedule.
Sample answer:
I’m very sorry Sir; I know it was very important. It was my fault; I wasn’t able to update
the meeting’s time. I’ll make sure that this won’t ever happen again. I’ll be more thor-
ough in taking care of everything. I’ll also extend my sincerest apologies to the Site
Director and do my best to make arrangements for another meeting with him as soon
as possible. Again, I am very sorry.
