The call for committee membership occurs every 2 years. All members interested in joining
one (or more) committees fill out application forms and return them to the IPIC office. Staff
then produces lists of the intended memberships that are sent to Chairs and ex-officios. Chairs
and ex-officios should review these lists and indicate which members to accept.

Chairs and Vice-Chairs need not reapply unless they wish to join additional committees or
other positions such as becoming a member of our exam board or of Council.

Please be sure to respond to IPIC staff with your decisions within the deadlines provided, as
IPIC staff will make final adjustments after the lists have been received. This is due to the fact
that members may apply for up to 5 committees, but will only be approved for up to 3. It is
important to respond to IPIC staff in a timely manner so that other committee membership
lists will not be delayed.

Please keep IPIC staff informed of all changes to the committee and contact information so
that IPIC’s databases are kept up-to-date.

When new committees have been selected, it is customary to send a welcoming message to
new committee members. Suggested wording is provided as follows:

Dear Members of the _______________ Committee,

Thank you for joining this committee and offering to share your expertise. The
committee’s Vice-Chair, _______, and I look forward to working with you over
the next two years and hearing your views as we work together on projects.

Our committee will function via e-mail (or through the committee portal) and
teleconferences. I will be in touch within the next few weeks to set up our first
committee meeting.

In the meantime, please do not hesitate to contact me should you have questions
about the committee.
