3. If the goods are dispatched to the port of shipment by railway,
Railway Receipt is obtained.
Stage-IV
After the goods have been dispatched to the port town, the Works
Manager sends a 'Dispatch advice' to the Export Department. An application
is subsequently sent to the insurance company for marine insurance cover.
The insurance policy is obtained in duplicate.
At this stage all formalities in relation to floor price regulations,
canalization, Certificate of Origin, ECGC cover and Consular Invoice
wherever necessary, should be completed. Thereafter, the Export
Department sends the following documents to its Clearing and Forwarding
Agents, along with detailed instructions:
1. Commercial Invoice showing the details and value of goods speci-
fying f.o.b. or c.i.f. or C & F price as the case may be and the
market/real value.
2. Original export order.
3. Original Letter of Credit.
4. GR Form Original showing I.E.C Code No. allotted by the D.G.F.T.
5. AR-1 Form (original & duplicate copies).
6. Invoice/challan in lieu of Excise Gate Pass (original).
7. Packing and Weight List.
8. Certificate of Inspection.
9. Declaration form in triplicate.
10. Counslar invoice where necessary.
11. Export license where necessary.
12. Endorsement regarding floor price, canalization, etc. where nec-
essary.
13. Purchase memo.
14. Railway receipt.
Stage-V
The Clearing & Forwarding Agent takes delivery of the consignment
from the railways and arranges its storage in the warehouse. Thereafter,
he prepares the requisite copies of the shipping bill. The most important
particulars which are to be filled in the shipping bill are:
Consignee name & address, vessel's name, Agent's name, Rotation
No. alloted by the Customs to the vessel, port of discharge, colour, final
destination, Exporter's name and address, no. of packages, marks and
numbers Gross net and tare weight, description, F.o.b. value, country of
