9. SECURITY:
9.1 Village Board members will be expected to take reasonable precautions to protect
any tablet assigned to them from damage, destruction, or theft.
9.2 Village Board and Staff members are encouraged to take appropriate steps to
protect the security of networks and files by the use of passwords and by taking
all necessary steps to maintain the integrity of passwords. While the Village
Administrator shall have the right to know all passwords, passwords should not
otherwise be shared, nor should they be posted.
9.3 Any suspected breach of security, damage, destruction, or theft of any tablet
owned by the Village should be reported to the Village Administrator as soon as
possible. The Administrator shall inform the Chief of Police as soon as possible.
9.4 Village Board members and Staff are encouraged to use a backup system as there
is an inherent risk that any data may be lost in the event of malfunction, damage,
or theft to their assigned tablet.
10. PAPERLESS MEETING PACKETS-PUBLIC DISTRIBUTION CONSULTANTS-
VENDOR:
10.1 All Village Board members and others will be required to use the tablet or other
electronic means to receive information for Village meetings. With the exception
of emergency situations or equipment failures, at no time will individual tablet
assignees be entitled to demand paper copies of electronic Village meeting
materials from the Village after the tablets have been assigned.
10.2 Authorized Village Staff shall endeavor to make the electronic meeting
information available by 4:00 p.m. the Friday prior to the regular meeting date, or
an approximately equivalent amount of time prior to the meeting, as practicle,
in the event of holidays or special circumstances. Special meeting electronic
materials will typically be available 48 hours ahead of time. On the day of the
meeting the most current electronic meeting materials will be available by the
start of the meeting.
10.3 If the Board member, or other appointed individual, does not have wireless
internet access, the tablet should be dropped off at the Village Hall by 9:00 a.m.
the Friday before the meeting (or equivalent day) so that it can be uploaded.
10.4 Authorized Village Staff, to the extent practicable, shall require that all
Consultants, Vendors and members of the public submit reports or other materials
