Hello! DMC Tactical Toolkit
In the past year we have rolled out a company wide program which has come to
be called our Tactical Toolkit. The project took almost a year to complete and
resulted in a comprehensive step by step directive for each key area of our
business from our initial sales engagement through operations and even into the
final follow through processes. The Tactical Toolkit is designed to capture and
reinforce our Best Practices. As a company of over 200 full-time employees this is
increasingly important. The goal is to operate at a consistently high level in each
of our 10 offices. Senior management in each office has committed to being
directly involved in every step for big programs which we call “Level 1”. We are
highlighting several elements of the Tactical Toolkit that have specific application
in all “Level 1” programs. This program is classified as a Level 1:
Priority Timeline – setting critical decision timelines for the complete project so we
can effectively communicate when key decisions and deliverables need to happen.
9 Steps of Execution - for off property and creative on property events. Very
thorough step by step vetting process with physical walkthroughs using Metrix
diagrams and staff instructions so everyone involved is clear on the entire project
not just their part.
Pre-precon – 7-10 days prior to an actual client and hotel precon with all
management present we hold an internal meeting to review the complete plan
with all documents and diagrams. This meeting has been a tremendous help and
is used to determine additional meeting and planning needs internally as well as
with vendors, venues, hotel partners etc.
Hotel pre-precon – 7-14 days prior to the first program date if warranted we
meet with our hotel partners to complete a thorough walkthrough of everything
we are doing to make sure we will have a seamless installation process.
Vendor planning meetings – Our internal planning process often involves a joint
supplier meeting so our vendors understand their role in relation to everything
else that needs to transpire around them. In these meetings we share our
production schedule and diagrams so they can see the actual timeline for
everyone involved in the project.
